Payroll Paper Solutions specialises in payslips and other payroll consumables such as printers, toners and folding machines. Payroll Paper Solutions has been providing Australian businesses with payslips since 2002 and are now one of Australia's largest payslip providers.
The Challenge
Payroll Paper Solutions is a Sydney based company that supplies products for warehouse use such as barcode labels and payslip seals. When Ryan, who is the Managing Director started the business over 15 years ago, he originally had all of his customers’ records on pieces of paper that would be filled alphabetically in files. The inefficiencies of storing his data like this were not apparent to Ryan until his sister joined the company and pointed out how much time and efficiency was being lost with a process like this.
The Solution
Deciding to take his sisters advice on board, Ryan tried to replicate his Paper – based system using FileMaker. “It was cheap, but it fell short in quite a few areas and as we were growing, it was obvious we needed a better CRM that could cope with a bigger database but was still affordable for us as a small business,” says Ryan.
One of the key things that caught Ryan’s attention when he discovered Act! was just how adaptable it was straight from the get go compared to the amount of time he had spent customising FileMaker. “They’ve always been there when I’ve needed advice or assistance on how to improve processes,” says Ryan. “They’ve also been really good at pointing me in the right direction so I can learn how to use the software better.”
The how to videos have also been of great use for PPS when they upgraded to the latest version. To his surprise, Ryan discovered functions in Act! he never knew existed and was able to incorporate this new found knowledge to better his processes. Ryan’s advice to new users of Act is “watch those videos and get to know more and more about Act! and how you could be using it. Then speak to an Act! Certified Consultant about what you want to do and they can tweak Act! to help you achieve it. You’ll save yourself a load of time.
The Results
Thanks to Act! Ryan is able to effectively manage and keep in contact with over 5000 customers and 8000 contacts. The seamless integration between Act! and outlook has ensured that all of PPS’s emails and documents are recorded to their contacts which has made it extremely easy and efficient to look back at past conversations and orders. Acts! KPI dashboard has allowed Ryan to see emails sent, tasks completed and calls made which has resulted in him being able to better manage his sales team. Finally, Ryan has saved hours of time and money by speaking to an Act! Certified Consultant who has been able to assist with any issues they may have.
